Role Overview

The Client Services Coordinator plays a critical role in ensuring an exceptional client experience from initial inquiry through ongoing care. This position combines administrative excellence, client communication, coordination, and light sales/marketing support in a professional medical environment.
 

This role is ideal for someone who is detail-oriented, organized, punctual, confident in communication, and comfortable working in a fast-paced healthcare setting.

Key Responsibilities 

 

Client Coordination & Communication

  • Serve as the primary point of contact for clients via phone, email, and in-person

  • Respond promptly, professionally, and clearly to client inquiries

  • Guide clients through services, appointments, and next steps

  • Maintain strong relationships with clients to support satisfaction and retention
     

Scheduling & Administrative Support

  • Schedule, confirm, and coordinate appointments efficiently

  • Manage and maintain client records with strict confidentiality

  • Ensure accurate documentation, forms, and follow-ups related to client care

  • Coordinate with physicians, allied health professionals, laboratories, and external medical facilities

  • Support general office operations and daily clinic workflow
     

Sales, Marketing & Growth Support

  • Support client onboarding and service explanations

  • Assist with follow-ups related to programs, packages, and renewals

  • Contribute to clinic growth through commission-based client engagement

  • Assist with basic social media and digital communication when needed (Instagram, LinkedIn, Facebook)

Qualifications & Requirements

  • Strong verbal and written communication skills

  • Fluent in English

  • Proficiency in Microsoft Word and Excel

  • Highly detail-oriented, organized, and punctual

  • Professional, client-focused demeanor

  • Legally eligible to work in Canada

Preferred Assets (Strong Assets)

  • Familiarity with the Canadian healthcare system

  • Previous experience in a medical clinic or healthcare office

  • Experience working with EMRs (Electronic Medical Records)

  • Understanding of social media platforms (Instagram, LinkedIn, Facebook)

  • Background in sales, marketing, or client relationship management

  • Experience coordinating with healthcare providers or diagnostic facilities
